About the Role:
Reporting to the Director Services and Supports, the Scheduling Coordinator is responsible for developing and maintaining employee schedules, taking into account staffing requirements, workload, and employee availability. Scheduling Coordinator will utilize scheduling software and systems to create balanced and optimized schedules, while also managing any necessary adjustments or changes that may arise. Additionally, the Scheduling Coordinator will facilitate comprehensive orientation sessions, welcoming and integrating new employees into the organization while also maintaining and updating employee training records, ensuring compliance with training requirements. Responsibilities may include:
- Through actions, supports the Mission, Vision, Values and Strategic Plan of Kerry’s Place
- Adheres to employee responsibilities for Health & Safety as defined by the Occupational Health and Safety Act (OHSA) and applicable regulations
- In collaboration with the Management team and Human Resources, provide appropriate staffing to meet the needs of the persons we support through effective recruitment and orientation
- Create and upload team schedules across multiple sites utilizing the online scheduling platform
- Schedule employees hours according to employment contracts, the Employment Standards Act and applicable Collective Agreements
- Utilize scheduling software and systems to create balanced and optimized schedules, while also managing any necessary adjustments or changes that may arise
- Deliver comprehensive orientation programs to ensure a smooth transition and a positive onboarding experience
- Coordinating and scheduling staff for training sessions, ensuring availability and proper coverage
- In collaboration with Manager, maintain and update training records, ensuring compliance with training requirements (e.g. NVCI, First Aid)
- Provide administrative scheduling support to site managers and ensuring timesheet accuracy
- Maintain scheduling operations within budget as directed by the Management team, includes authorization of expenditures as per Finance policy
- Ensure the sufficient staffing of Supported Living sites through schedule maintenance, ratio maintenance and maintaining fair and equitable schedules
- Coordinate efficient scheduling of staff to meet home requirements (Site Budgets)
- Collect and analyze information regarding the utilization of agency staffing support including hours and shifts to identify staffing trends and inform scheduling efficiencies
- Support the scheduling of services and supports for persons with Autism Spectrum Disorder
- Support the health and safety of supported persons in accordance to Ontario Regulation 299/10 Quality Assurance Measures, and the Provincial and Municipal regulations and by-laws
- Assist the Management team by maintaining professional and thorough records and keeping them up to date for all staff
- Other duties as assigned
Education Qualifications:
- University degree or college diploma
Knowledge and Experience Requirements:
- 2 years of experience with ADP Payroll and scheduling systems is an asset
- Knowledge of shift call-out and scheduling notification (Vocantas)
- Strong knowledge of the Developmental Services sector
- Strong knowledge of Autism Spectrum Disorder
- Competency and effective use of database and Microsoft Office systems
- Working knowledge of related legislation and regulations such as Employment Standards Act, Occupational Health and Safety Act, Services and Supports to Promote the Social Inclusion of Persons with Developmental Disabilities Act, etc.
- French language is an asset
Working Conditions/Physical Requirements:
- Position requires flexible hours including evenings, weekends and holidays.
- Provide on-call coverage (which may include evenings, weekends and holidays)
- Access to stable and high speed internet
- Must have the ability to complete the Non-Violent Crisis Intervention (NVCI) certification, First Aid/CPR as well as perform the required physical techniques. Training will be provided at no cost
- A valid Driver’s License, with a minimum G2 and access to a reliable vehicle is required and proof of third party liability insurance coverage
